Description
This process starts after a customer service representative (CSR) receives a request for a quote (RFQ). The CSR inputs the RFQ information into a CRM to obtain a quote number. The CSR then fills out the RFQ form with information about the RFQ. This form is routed to the engineering team who decides whether to quote the customer right away, to reject the RFQ or to obtain information from various departments before creating a quote. If the engineer decides to send the form to various departments for more information, the form is routed to each of those departments for review simultaneously. Each department obtains the requested information and fills it out before submitting the form. Once all departments have provided the information, everything is routed to the original engineer who could either provide a quote, decide to not provide a quote or send the form back to any department for more information. If the engineer provides the quote, the quote is sent for review. If the quote is over $10,000 it is first reviewed by management before being sent on to the CSR. The CSR can approve the quote, decide to reject it or send the quote back to the engineer for revision. If the CSR approves or rejects the quote, the CSR must notify the customer before ending the process. Any comments submitted throughout the process are tracked in the form.
