This pre-construction notification process is initiated by submitting the e-form. The form’s fields are dynamically displayed and different fields are shown based on the information provided. It moves forward for simultaneous review by the state Division of Water Resources and the federal U.S. Army Corps of Engineers after submission. Forms and Process Automation determine if the application is for the Department of Transportation and route it to the right initial reviewer for approval with a due date reminder. The application is stored in the repository after being accepted or rejected. Throughout the process, applicants are updated on their status, receive a notification regarding their reviewer and receive a final acceptance or denial.
For an approved application, a staff member changes the document’s associated field value to "Approved" and invokes a series of activities automatically empowered by Workflow such as extracting values from the form as tokens to be used later in the process, searching the repository for an existing project folder, storing the document in the appropriate folder or creating a new folder, notifying other agencies as necessary, sending an email to the applicant with another payment form if needed.
The department creates a public portal for the public to easily access records in minutes, including historical data and applications, which ensures the total impacts are considered when multiple contracts are developing the same piece of land.
